Automation systems built for agencies.

We connect the steps between lead, client, and delivery—so work moves faster, follow-up happens on time, and your team spends less energy on admin.

Example system breakdowns

What connected automation looks like in practice.

These are representative system designs, not claimed client case-study results. They show how we turn a manual handoff into a dependable operating flow.

01 / Lead response

From inquiry to the right next step

Before
A form submission waits in an inbox until someone has time to review it.
What we build
Capture the inquiry, apply qualification rules, update the CRM, and route the prospect toward booking or a suitable response.
After
Every lead receives a timely next step and the pipeline stays current.
02 / Client onboarding

From signed client to delivery-ready

Before
Welcome emails, kickoff links, files, folders, and tasks are assembled one at a time.
What we build
Trigger a structured onboarding flow that gathers information, prepares the workspace, and assigns the internal next actions.
After
The client gets a consistent start and the team begins with the information it needs.
03 / Operational visibility

From scattered updates to one clear view

Before
Project and pipeline status lives across conversations, task boards, and personal memory.
What we build
Connect workflow events to a focused dashboard and surface records that need attention.
After
The agency can see what is moving, what is blocked, and what needs a human decision.

Agency workflow automation

The work is not the problem. The handoffs are.

Most agencies already know how to sell and deliver great work. The friction appears between those moments: inquiries wait, proposals stall, onboarding starts in scattered threads, tasks are recreated by hand, and follow-up depends on someone remembering.

Refyra builds connected systems around the way your agency already works. The right information moves to the right place, routine actions happen automatically, and your team can see what needs attention without chasing updates across five different tools.

One connected client journey

The next step should never depend on memory.

  1. 01 Inquiry
  2. 02 Qualification
  3. 03 CRM
  4. 04 Booking
  5. 05 Proposal
  6. 06 Onboarding
  7. 07 Delivery
  8. 08 Follow-up

Built around your process—not a template you have to fight.

Connected to the tools your team already knows and uses.

Documented, tested, and owned by your agency.

Growth should not create more admin.

When every new client adds more follow-up, copying, checking, and chasing, growth starts working against the team. We turn the repeatable parts of your operation into systems that run consistently in the background.

Opportunities Wait

New inquiries and open deals lose momentum when the next response depends on a busy person finding time to send it.

Delivery Fragments

Client details, assets, tasks, and updates spread across inboxes and tools, leaving the team to reconnect the process by hand.

Visibility Disappears

Owners become the source of truth because the real status of leads, clients, and delivery is not visible in one reliable place.

What we build

The systems behind a smoother agency.

Start with the bottleneck costing you the most time or momentum. We design the workflow around your process, connect the right tools, and make it reliable enough for the team to use every day.

How we work

From bottleneck to working system.

A focused process that starts with the real constraint, gets a useful system live quickly, and leaves your team with something it can confidently run.

01

Map the constraint

We trace the current workflow, find where time or opportunities are leaking, and agree on the first system worth building.

02

Build around your process

We connect the tools, automate the handoffs, and test the workflow against the situations your team handles in real life.

03

Launch with clarity

Your system goes live with documentation, a walkthrough, and a clear understanding of what runs automatically and what still needs a human.

Founder-led and system-first.

Syed founded Refyra Workflows to build the operational systems behind agency work—from lead response and CRM structure to onboarding, delivery, reporting, and follow-up.

The work is deliberately tool-agnostic. Refyra evaluates the process and existing stack first, then uses tools such as Make.com, n8n, Claude, Codex, or whatever best fits the workflow.

  • Existing tools evaluated first
  • Human checkpoints kept where needed
  • Systems built for agency ownership
  • Documentation and handoff included

An honest fit

Useful automation starts with a process worth improving.

We do our best work when there is already real client activity, a repeatable workflow, and a bottleneck that can be clearly observed. If the right first step is not a build, we will say so.

A strong fit if

  • Your agency already has active client work
  • The same administrative tasks repeat every week
  • Leads or projects slow down during handoffs
  • Your tools work individually but are poorly connected
  • Your team is ready to change how the work gets done

Probably not a fit if

  • You do not yet have a repeatable sales or delivery process
  • You only want a standalone chatbot with no operational workflow
  • You are looking for a generic automation template
  • There is no clear owner for the process after launch
  • The team is not ready to adopt a new way of working

Frequently Asked Questions

Straight answers about what we build, how it works, and whether it fits your agency.

What tools do you build with?

We do not have a fixed tool stack. We first evaluate the tools your agency already uses, then choose the best way to connect and automate them. Depending on the workflow, we may use Make.com, n8n, Claude, Codex, or other tools that fit the job.

Will I need to pay for extra software subscriptions?

Some builds need one or two additional subscriptions, usually an automation platform or a connector your current stack does not include. We review what you already use first and keep the finished system practical, maintainable, and cost-conscious. The goal is to improve the operation without adding tools your team does not need.

How long does a typical build take?

Most focused builds take 1-2 weeks from kickoff to live testing inside your workspace. The exact timeline depends on the number of workflows and tools involved. Before work begins, we agree on what is being built, what success looks like, and what your team needs for a smooth handoff.

Do you offer support after the system is built?

Yes. Ongoing monitoring and workflow support are available when needed. Every build also includes documentation and a recorded walkthrough, so your team is not dependent on us to understand or operate the system.

Who is this service designed for?

Refyra Workflows is built for agencies with active client work and repeatable processes that still rely too heavily on memory, manual updates, or disconnected tools. It is a strong fit when sales, onboarding, delivery, and follow-up are working—but the admin between them is slowing the team down.

Can you help us decide what to build first?

Yes. The discovery call is used to understand how work moves through your agency, identify the bottleneck with the greatest operational impact, and define the first system worth building. If there is not a clear opportunity to save time or improve consistency, we will tell you directly.

Find the system that would move your agency forward.

Tell us where work slows down. We will help you identify the first workflow worth fixing and whether Refyra is the right team to build it.
